Onboarding Flow

Step 1: Welcome (Day 0)

  • Send welcome email with: project timeline, what to expect, access checklist
  • Create HubSpot deal at "Onboarding" stage
  • Create project folder in workspace memory

Step 2: Access Collection (Days 0-1)

  • Send access checklist (customized by package tier):
    • All: Business URL, CRM login, contact list export
    • Standard+: LinkedIn credentials, outreach tool logins, SMS/phone provider
    • Premium: Full tech stack access, Git repo, all integrations
  • Follow up within 24h if any items missing

Step 3: Discovery Call (Day 1-2)

  • Conduct discovery call using SOP for the relevant package tier
  • Document: ICP, current process, desired outcome, success metrics
  • Confirm scope in writing

Step 4: Kickoff

  • Send scope confirmation email
  • Share project timeline with milestones
  • Introduce client to communication channel (email, Slack, or Telegram)
  • Begin build phase per package SOP

Step 5: Status Updates

  • Send progress update at 50% build completion
  • Send final review notification before handoff
  • Maintain 24h response SLA on all client messages

Anti-Patterns

  • Do NOT start building before access checklist is complete
  • Do NOT skip the written scope confirmation
  • Do NOT go silent for more than 48h during the build phase
