Overview

Speed-to-lead reduces response time from hours to seconds. When a potential customer calls and gets no answer, submits a form, or sends an inquiry — the system instantly responds via SMS/email with a personalized message and booking link.

Build Steps

1. Identify Trigger Sources

  • Missed phone calls (via telephony provider: Plivo, Telnyx, or client's existing system)
  • Form submissions (website contact forms, landing pages)
  • Email inquiries (new email to designated inbox)
  • Chat widget messages (if applicable)

2. Configure Instant Response

For each trigger:

  • SMS response (if phone number available): Personalized text within 30 seconds. Include: acknowledgment, estimated callback time, and booking link.
  • Email response (always): Personalized email within 60 seconds. Include: acknowledgment, next steps, booking link, and relevant info about the service they inquired about.

3. Set Up Booking Integration

  • Connect to scheduling tool (Calendly, Cal.com, or Google Calendar direct)
  • Auto-create calendar event when prospect books
  • Send confirmation + reminder sequence (24h before, 1h before)

4. CRM Integration

  • Auto-create contact in CRM (HubSpot) with: source, timestamp, inquiry details
  • Set pipeline stage to "Speed-to-Lead — Responded"
  • Tag with lead source and vertical

5. Notification to Client

  • Alert business owner via SMS/email/Telegram that a new lead was captured and auto-responded to
  • Include: lead name, inquiry type, response sent, booking status

Testing Checklist

  • Missed call triggers SMS within 30 seconds
  • Form submission triggers email within 60 seconds
  • Booking link works and creates calendar event
  • CRM contact created with correct fields
  • Owner notification fires correctly
  • Edge case: multiple rapid triggers don't create duplicates

Client Handoff

Provide: trigger map, response templates (editable), booking link setup guide, CRM pipeline guide, monitoring dashboard access.
